The Fate of 550 Shipments

It was Thursday 20/07/2006, when I reported in the morning at office I got informed that last night material which arrived on Pk 213 from Pakistan was Held by Dnata & Ministry of information at Express Mail Center (EMC) in Dubai cargo village. It was carrying total 551 shipments. Among these bags there was a shipment which was alerted on Airline way bill as Diplomatic shipment.(SWISS AIR DUBAI) As per the procedure of Dnata handling if any shipment alerted as Diplomatic on the Airline way bill it should be cleared through Consulate authority only. Since Airline Airway bill typed as Diplomatic shipment they treated all shipments as diplomatic. Because of this one shipment all our 550 shipment were kept on hold at EMC in which its having transit and local shipments. I took Xavier Alphonso with me towards EMC, There at EMC Mureed Abbas tried his best to clear the shipment in the night but in vain. After analyzing the situation I Send Alfonso to Ministry of Information in cargo village for the getting the detail for clearing our material and I moved to customs office for screening the Diplomatic Shipment, It was clear from Customs and got the stamped on Airline Airway bill by One of Customs Officer (Hussain Hamadi ) who is very co operative and supportive person at Dubai Customs. Situation become worse when Ministry of Information refused to released the shipments, for clearance they need either consignee or Argentina embassy official. Consignee (Swiss Air) refused to accept the shipment as they havent received any information regarding this shipment. Argentina Embassy closed on Thursday. We do not have any other option except to wait till Saturday, But what about other 550 shipments, These shipments senders and receivers were suffering without any fault, My mind started thinking what will happen if it wont cleared today, what will be the fate of these shipments, are they going to get it clear today or not????,

Several thoughts were coming to me like phone lines were ringing at office here in Dubai as well as in Pakistan, And all staff were helpless as customer were not ready to hear anything except their shipment delivery. Then I took the decision that what ever the consequence comes Ill face it but today Ill make it release all these shipments, I was also getting calls from Ronald Alfred and other member of TCS Pakistan for knowing the status of all hold shipments. I assured them that well try our best to clear the shipments, Again I went to Ministry of Information office and requested him to release our express shipments and keep hold Diplomatic shipment with you, He refused by saying I cant do anything for you, You have to wait till Saturday, Here in UAE Ministries closed on Thursday and Friday. I requested him to provide the mobile or any point of contact to speak to higher authority, But he denied. Then again I moved to Customs officers room and said I cant hold all of these 550 shipments. I have to move these shipments at any cost On hearing my pledge He issued the gate pass for local deliveries, Later I submitted Manifest for all on forwarding shipments to customs office. After having the gate pass immediately we all loaded the local shipments in vehicle and moved to Main office and distributed the shipments for deliveries, All shipment were got delivered well in time and we havent received any query for late delivery. UK line haul shipments got connected with Emirates flight by Mureed Abbas in Afternoon flight and remaining shipments processed and handed over to DHL. Then I called up Ronald Alfred and updated the status, He was eagerly waiting for my positive call, when he heard the news he was very much exited and end the call with thanks. After one week that Diplomatic shipment got delivered back to Origin, thanks to all who got involved in this process especially Xavier Alfonso, Syed Pasha & Mureed Abbas who supported and co operated during the processing.

FRUITFUL GOSSIP

Last year our country faced a big disaster of Earthquake, this caused the huge destruction. Solidarity day had been organized by Pakistan Embassy for charity of earthquake victims. Many Pakistani companies arranged their stall in the fair. TCS also warmly participated. I was with my colleagues on our stall, giving presentation to the visitors, there was a big crowd of people enjoying the fair, suddenly I found a young kid among them, and he was continuously moving around our stall and watching things with great interest and curiosity. I noticed his main attraction was the TCS aircraft model displayed at our stall; at last he came up and asked Is this the new airline of Pakistan? I politely replied and gave him the introduction and certain detail of our services. He was surprised and happy to now that we had our own worldwide courier services available in UAE, and we were using other courier companies and even faced problems because they could not find exact location in our country especially he was very excited to know about our student discount services and sentiments services. Later he introduced me to his father and made a promise with great enthusiasm that they will use their own countrys courier whenever they will need it. His father was also impressed. The boys iron determination and strong emotions, inspired me and gave me new courage and strength to move ahead.

Customer Service:

When ever a package delivery is not done to premises, a card should be left at the door stating the airway bill number and courier officers name and mobile number

It can ensure prompt delivery .As the consignee can directly contact with the courier person instead of calling office and result in further delays. Hence achieving an excellent service providers and also fulfils the purpose of the sending document through courier mode

SMS: It would save our telephone bills as we could send SMS messages to the consignee (Costing .21 fils per message) where as if we call the customers:

Increase in phone bills (minimum of .75 fils maximum it can go till 1.5 dirham above 3 minutes )
Customer services lines would be busy and result in other customers to wait for long for their quires to be solved
The customer can always now its a courier package for him in this company or else the customer will not be aware , why he had been given a call in the offices

Emails: when ever a new account is opened, its always better to give email ID of the CS or the pick up coordinator to co ordinates as its more cost effective and time saving tool.

We have to ensure email is not left unattended

Sales:

The courier person can always interact with the consignee and collect visiting card for developing business opportunities and a nominal amount can be given to that particular courier as an encouragement for finding better business on field

Positive story:

1) 241864162- airway bill number

This is regarding a shipment which was given by Mr. Kazmi (G.M Galadari Automobiles Dubai) on July 19 2006 .Actually the documents were original visas which had to be held in the Karachi office. Mr. Kazmi wanted the shipment to go safe and sound and was very particular about the time frame of the delivery as his family was arriving in Dubai.
I made pre alert to Pakistan Operations and the CSD and kept him posted .I asked me my mobile number and was constantly in touch with me

The shipment reached on time and was held at the office and I instructed the CSD staff to personally call the consignee on the cell and inform about the shipment.

And due to this value added service which TCS had offered him. Mr. Kazmi has sent his card by his driver on my attention and as offered for giving there business to our company.

I would be visiting him shortly on my day off.

I called the police informing then that a vehicle has overturned with people sitting inside the vehicle and require your immediate help. Before the police could arrive I approached the vehicle and on humanitarian ground went to help the people who were inside the care, seeing me few cars passing by stopped and few people came and help me. As I was on my way to office at 08.00am, I got a call from Mr. Tahir saying that the Pakistan Material was hold in Dubai Customs and they wanted my assistance as all the Dubai and international shipments were detained by the customs official. So I went to Customs Dept. and met the Customs Inspector and inquired why the Material is kept on hold .He told me that he could not release the bags because There was a Diplomatic shpt For ARGENTINA EMBASSY along with the routine material.. He asked me to contact the CID dept, upon approaching them they asked several questions by making me sit in front of the senior CID officer, cause as per them these are very confidential bags and they have to be brought into the country with proper manifestation. I told the CID officer that this is a mistake from the origin and assured him that it will not be repeated again after taking him into confidence the senior office put his remarks and asked me to visit Swiss Air, as Swiss air was officially authorized to carry the bag I visited the Swiss airline after listening to me they refused to accept the bag as they were not informed by the origin or my the Argentina Embassy. Then again with great difficulty or luck I happened to meet one of my friend who is a customs officer in the cargo village Mr Hussain with his help I got in touch with the senior customs officer and after explaining to him the entire story I was able to have the above shipment returned back to the origin by keeping my labor card as a guarantee without which the bag would not have been released. The entire process consumed a whole day but eventually it was successful. I was so happy to have the bag released , after all I am proud to be a TCSian , I am happy to work with such a beautiful environment where everyone no matter which part of the world are they from but all here are cooperative and helpful , I wish to thank our group CEO to have let us define our work in such a way of story writing , I wish TCS a success and success.

Yesterday i while on my regular visits i happened to visit an old client of ours -Enery Enterprises. There i met the General Manager Mr. Abdul Hadi who is one of our older customers and a citizen of Lebanon. Due to the war situation in Lebanon he looked troubled but he was very welcoming and greeted me with warmth. As soon as he heard the words "TCS" from my mouth he said "I wish if TCS were in Lebanon today it would have helped my fellow countrymen and women just like TCS had helped me save the life of my wife 5 years ago!" Hearing this i assured him that Inshallah TCS will be operating out of Lebanon soon and that it would provide the same service it has provide in the UAE.Five years back i recall it was an average day when i had met Mr. Hadi with regards to getting TCS business. It was evening time when we were meeting. However, I noticed he was preoccupied with something on his mind and was not giving me the attention I was looking for. On seeing his uneasiness i asked what was the matter. He said "My wife is ill and in Al-Noor H She requires blood immediately and that her blood group is only available in American Hospital in Dubai". Upon hearing this I immediately felt i could help this person. TCS was the answer. Thank God. I called upon our operations Manager at once and
described the predicament. A courier was immediately mobilized and within the next 2 hours the blood that Mr. Hadi's wife required was in Abu Dhabi. Her life was saved and TCS had proved once again that it has a reputation to deliver!.

I joined TCS a year ago and have worked on 4 different routes. I started off with being a walking courier until i got my motorbike license. Later i was given a bike and bigger longer routes. I have always done my work with diligence and utmost effort. I have always kept a very close relationship with my customers so much so that i have given my mobile number to my customers so that they may be able to contact me in any time of the day. Lately, i was given the Media City route. This was being taken care of by our colleague Mr. Eranga which he left after his accident i took over all the customers after taking over. However, I noticed that it is a very large area to cover and one person cannot do it completely. I noticed many businesses had switched to Aramex and other courier companies. So, i requested our operations to provide us with another courier support officer. They did give me a walking courier to help in the Media City area. Now, I have started talking to customers who were doing business with us but had left. I am telling them that TCS is doing its best to deliver your shipment on time every time. By the Grace of Allah i have been able to get back 6 customers and I have very high hopes Inshallah I will be able to increase more in the near future.

Positive story # 9
This happened 4 days ago with regards to a laptop. That day the laptop delivery was with the heavy courier. The delivery of the laptop was urgent and had to be done at all cost. After securing the location and address while on route his car broke down because of which the laptop had to be brought back to the office. The laptop belonged to a pilot who was due to fly out at 5:00 PM. The customer was stationed at Mina Rashid. Since it was route time for everyone in the office it was almost impossible to send a special courier for delivery of the laptop toMina Rashid. That is when i was told to make this urgent delivery despite the fact that i had many of my own deliveries to do mainly shipments from China. While on route i got stuck in traffic but i had a mission to accomplish and delivery of the laptop was my objective. It was 4:15PM and i had to make it to Mina Rashid by 5:00PM. I called the customer on his phone and was told that he wasa ship docked in Dubai and would only be available after 15 minutes. We were to meet near the airport.I was also worried about my Kuklos courier who was waiting for me on his route. At the same time i started receiving pickup calls from the office. It was now 5:20 PM and there was no sign of the customer. I called up Manzoor Bhai and he told me that has called the customer and that he is not answering. Manzoor Bhai told me to leave the place. I left and headed for my Kuklos courier. It was now 6:00 PM and the Kuklos courier was furious. I had my own deliveries to make and pickups to collect. It was late in the afternoon and things were already getting late when all of a sudden i got a call from the office from Manzoor Bhai who told me to go to the rendezvous spot since the customer was there waiting. I was far away from the place and i had deliveries to make but i was told that this customer was an airline pilot and his plane was about to leave. So, despite my the short time i rushed to the rendezvous spot. When i got there i was told he has gone into the airport and i was called inside. I found him in the lounge with his friends. He was delighted to see me and said "Son you have understood the meaning of TCS since TCS is the biggest company in Pakistan and it is renowned for its service. I knew i could count on you. Your companys making our nation proud". I was very happy to hear his words and satisfied with a happy customer. Later i got back on my route and complete all my deliveries. I got back to the office at 8:20 PM.

With a positive attitude I start my day , promising myself that I will be able to convince at least one new customer a day, tackling the customers and handling them with care is the most important thing to do in a service oriented company like us , I can remember one such days few days earlier when a gentlemen came in and wanted to courier and document, he also said that he was looking for job, I assured him that there is nothing to worry, hard work and punctuality always pays , I told him that my prayers and best wishes will always be with him and that he should come back to us for any courier needs, he left happily , later few days I was delighted to receive his call , he joined a company in Sharjah Free Zone by the name Peace Keeper dealing in fire fighting equipments , they were using FedEx for their courier needs , I sent our rates and luckily they are very much interested, now presently they are using us on cash basis, but Inshallah we will be able to bring them as one of our account client.

"A Man with a Family - with love"

Six months passed by, and Octara people have bared be with Compassion, Love & Opportunities. 7 times I have decided to resign, and then eventually I resign over the thought of resignation... only because of the love and concern my family has for me.

This story relates to one of my colleague at Octara... I won't mention his name, but I am sure, all who know Octara will figure it out, that who he is.

Every morning, when sweeper opens the door to enter our office, we have this friend of us to welcome him. Known for being the most occupied person in Octara, (I have some reservations), he kicks off his day with Songs, Sense-less Jokes - yet funny, and some insights over how should the top management should work at Octara in specific, and TCS in general.
Eventually, as the day passes on, and the Octara family members are on their seats, this man, despite of some real-hectic task, is busy making life and work fun for others. A real friend and Bro to everyone, his energy level increases as the day pass on, because this means that he will shortly be with his real family, for whom, he has the biggest share of his heart.

Dear Friends, this man is gem - truly a dedicated TCSian, and a loving and caring father, husband, and son to his family. Such an individual is an asset to any organization. We need more of such people. If I have to disclose, the most vital force behind his energy and commitment, it is his Family. The satisfaction and contentment he bears on his face is just because of it... So to all my TCS Family members... your family is important to us, as it is to you...and so you should ensure some quality time with them... This would be the greatest investment you can make in your personal as well as professional lives.

This friend of mine is definitely not the richest man around, but he is surely the richest in terms of love, care, affection, and smile he has to offer others...

May Allah Bless him...

Snow fall of 2005
Weather has impacts on moods and personality for example as far weather in our city is usually dry with no rains so it has a direct impact on moods of people in Quetta. Quetta is a beautiful city surrounded by mountains and if you are about to land on the airport of Quetta after five minutes than the small windows of aircraft welcome you to see the explore able dry mountains.
These mountains have their own grace and in the east of the city you can see the sleeping beauty (a mountain which gives the glimpse of a woman who is sleeping with her long hair lying horizontally up her head. Moonlight adds a great attraction to this art of nature.).
When these mountains are covered with snow and everything is covered white, the city looks no lesser than a land of heaven. As far the global warming has changed weather everywhere same is the case with Quetta city. It uses to snow a lot when I was a child now it just snows once or twice in a season.
The kind of business in which we are involved in can not afford lapse in our operational activities what so ever the weather is.
It was snowing from last night and in morning when I woke up everything was covered with a thick layer of white snow.
It was cold and I went straight to my old model car to get it started but mentally I was comfortable that I will get it started as far I poured anti freeze in the radiator in the beginning of winters and it did get started.
I like reaching office on time. So MASHALLAH I did during that cold weather too. The weather reflected a few late arrivals of a few collogues in our office. Real problem that day was courier movement about which we all were not well aware till that time everybody seemed in a happy mood and enjoying weather. Keeping in view the fact it was still snowing. Chief courier informed our the than ABM (Mr. Nadir Qureshi) that roads are too slippery and couriers will not be able to move today. ABM called and discussed the issue. Although we had the edge of bad weather for non-deliveries and convincing the clients. But think out of box. But my mind was running here and there while observing our collogues where somebody wanted to go on a ride and somebody was talking about having a hot cup of espresso coffee from a nearby restaurant. But all these ideas flew away when I went to our ABM and said '" Boss we have only thirteen routes and we have three cars owned individually by SM,BDM and TO. So we can manage it by providing the required fuel to the sales team and three to four couriers can get fit in one car". This idea of mine clicked my ABM and he just said "Go ahead" this phrase of his showed his trust which not only flared me to height of motivation but also made me feel INSHALLAH we can do this.
In the next half hour the whole plan was ready to be implemented it was 10:15am I still remember when we were about to be seated in our cars accompanied by our sales solicitor's team and about to implement our proposed plan of 100% deliveries while it was still snowing. We were called up by our ABM and he said you guys can have lunch on my approval after completing deliveries. These were his motivating skills for the whole team.
It was 4:10pm when 4th sales solicitor in my car completed his last delivery. Although ours was the last team to arrive back to the office but we did it. And we were welcomed over a hot cup of coffee and appreciating phrases from our seniors and collogues.
Moral
Life is to go on weather we are there or not. So let's live today in its full bloom with honesty, determination and dedication for ourselves, for our families, for our colleagues, for our nation and for our Ummah.

Positive story # 5

Having worked more than a year now at TCS has been challenging and lot learning ,being an Algerian it was a bit tough to mingle around with the different culture , but it took me no longer than days to customize myself with everyone here , the most important what I have experienced here is the team work and a friendly atmosphere, as time passed I knew more about the company and its achievements, my bond towards the company grew stronger .

I am at the recoveries , I am happy to touch base and contact different types of people with different backgrounds , everyday I make it a point to coordinate and discuss payment related issues with about 30 of our account clients , I learn more each day, it is so much appreciating that all the departments related to the matter go by joining hands , the operation help on the matters related to manifesting and entries , the customer services with the delivery details and shipment information, another remarkable practice here is the Glue meeting thats held every two weeks which not only solves a lot of issues but also creates a close bond between the different manager heads. I would like to thank TCS for giving an opportunity to share deep thoughts openly Live long TCS

Positive story # 4
Everyday we face challenges and some of these turn into positive stories, some become good memories and show examples to others. Positive is a word which we hear every now and then, what does it means? Are we positive thinkers or positive personalities, whats the value of being positive in your life are we just saying positive for the sake of saying or are we actually practicing it in our daily life. I ask these questions to myself to evaluate if I am positive or a negative person.
After a long and tiring week, all of us just wish to go home early on a weekend. My positive story starts on a weekend, I was all set to go home and the time was 7:15 pm and my family was ready for an outing, as I was already late and my commitments to my family were to reach early, I shut my system and was about to leave, Mr. Naeem handed over a fax which came under my attention with Urgent Collection from Germany through Sea Freight Mode from one of my new customer. I looked at Naeem with a pleasant smile (as usual) thanked him. First thing which came to my mind was should I leave the fax on my table and action it on Saturday morning (ignore it, as I havent received it).Second thing was if I do not action it now will cause a delay of 4-5 days due to Weekend in Europe (Saturday -Sunday off ). The third thing was the family commitments, to my wife and children (Most dangerous one)so what should I do? Mean while my mind was under the process of making a decision, can you guess what happened next....... I received a text message on my mobile which I thought may be my wife, but it was from one of my customer requesting to quote him on an urgent airfreight shipment. If I fail not to do so in quoting him within an hour will result in losing this deal. I asked myself, do I have any other option now? A replied came immediately with NO you dont have any way to escape and especially in such scenario where a customer is expecting my quote. As I was rewarded the Man of year 2005so I have to prove it to myself that the decision taken by the CEO to select me wasnt wrong. At the same time I started working on both the inquirys which was not an easy job considering the time limitation and weekend. All our vendors were closed and none of them can reply to my inquiry before Monday. Unfortunately Mr. Babur from GAC (did the mistake to take my call) and fortunately for me had received my call lightened up the hope for finalizing this deal, after a long coordination with Babar, we were able to finalize this deal and Alhamdullilah both the shipments moved within the time frame committed to the customer. It was almost 11:00pm when I left for home and my wife was very glad to see me and welcomed me with great honor and respect (if you can believe it). At the end I had a peaceful sleep that night and felt proud of myself.
A week back the same client called me from Afghanistan and requested to quote the rates for his third party delivery, now you can image how this whole incident had built our trust with this customer.

ARY Group is one of our corporate customers, and has using TCS services for the one year now. They send their bulk mail through us to local and international destinations. They are in the process of launching some new projects in the market, and have been dispatching 200 - 500 documents at one shot.

Just keeping in mind their business, Last Saturday, they called Mr. Naeem for international bulk shipments at 19:30 in the evening; Mr. Naeem has immediately coordinated with our Operation Manager Mr. Yousuf to arrange this collection. Mr. Yousuf coordinated with Mr. Wahid ( Pickup coordinator) , who called on my cell phone to pass me this urgent collection. After a tiring and exhausting day in the extreme hot summer, I was on my way to office. I usually report to office at this time to hand over my international material for the connections, but keeping the value of their business, I immediately handed over my material to Mr. Samad to take care of the connectivity and rushed to their office on Sheikh Zayed Road. When I reached to the customer, they were in the process of making ready these bulk documents for international destinations; I decided to give them a helping hand in preparing these documents so we can connect on the same day. I also informed Mr. Sameer and Mr. Samad to connect this material on the same day. At the end, customer was really very pleased and happy with me and TCS.

I believe this is not a One Man Show I will rather call it a Super Combination of Team Work, where all the characters has played their roles by supporting and holding each other's hands.

By keeping in mind the core values of our organization, we can do something extra ordinary which could be beyond the expectation of our customers for the excellence of our service and the reputation of our company.

Handling the coordination in the night at operation was pretty challenging, on one night in a busy - night shift as I manifested shipments for International dispatch , I received a call from Saudi Arabia around 11ish , he was enquiring about a courier which was sent to him from Dubai but unfortunately the consignment number which he carried was wrong , it was not complete , being so much busy at that point of time, I spoke to him politely and took all the details of the shipment along with his contact numbers , I then after about 15 minutes got hold of the system once I was a little free , I fed all the details that I had and I was surprised and happy that I could trace that with just few common details , thanks to the I T who has done such a remarkable job on the software development , I then didnt wait , just rang him up and gave him all the details , he was so pleased that he said he would start having business with us , this motivated me a lot , it made me happy that I could provide EXCELLENCE and JUSTICE which was laid by our Chairman as out core values and VISION 11 as dreamt by our CEO , Jamil Janjua , I wish to thank you for providing us the platform to share our stories
